How Small Businesses Can Put AI To Work Right Now

Small businesses don’t need large budgets, dedicated technology teams or complex infrastructure to find practical uses for artificial intelligence. Today’s widely available AI tools can help entrepreneurs and small teams handle time-consuming tasks, work more efficiently and make better use of limited resources without requiring a major technology investment.

The key is identifying where AI can provide meaningful support without adding unnecessary complexity or diminishing the human judgment and relationships that remain essential to running a business. Below, members of Forbes Technology Council share practical ways even the smallest businesses can use AI to save time, improve operations and make more informed decisions.

Automate Routine Tasks

Even the smallest business can use AI as a digital assistant to handle routine tasks—responding to customer inquiries, drafting emails, creating marketing content, forecasting demand, managing inventory and scheduling appointments. By automating repetitive work, business owners gain more time to focus on customers, growth and the activities that drive revenue. Small wins can create positive momentum, and that results in growth. – Pritam Debnath, Sysco Corporation

Turn Existing Data Into Better Decisions

Focus on improving decisions, not replacing people. Small businesses can use AI to organize information, summarize customer interactions, automate routine administrative work and surface insights hidden in their existing data. The biggest advantage comes from making better use of the information they already have, not deploying the most advanced models. – Paul Speciale, Scality

Forbes Technology Council is an invitation-only community for world-class CIOs, CTOs and technology executives. Do I qualify?

Build Stronger Knowledge Infrastructure

One of the biggest misconceptions I have seen among small businesses is that AI is primarily useful for automation. In my view, its greatest value lies in helping businesses capture what they know, learn from what they do, and make better decisions every day. The small businesses that will thrive in the AI era won’t necessarily be those with the most AI—they’ll be those that build the strongest knowledge infrastructure to power it. – Babajide Ojuola, International Energy Services Limited

Predict Equipment Problems Before Downtime

Even a small business with machinery can effectively implement AI-driven predictive maintenance to analyze sensor and machine data, flagging equipment issues before they cause costly downtime. It boosts uptime, extends asset life and optimizes production schedules—enabling lean operations to run as effectively as much larger competitors. – John Healy, Intel Corporation

Spot Market Gaps And Opportunities

Use AI to build a live picture of your market. Most small businesses can’t spend hours tracking competitor pricing, reviews, offers and messaging. AI can scan that information faster, identify patterns and show where customer demand is going unmet. That gives a small team the research capacity of a much larger company. – Greg Brown, Illumia

Draft Customer Communications Faster

The highest-leverage starting point is customer communications, including drafting quotes, follow-up emails and responses to common questions. A solo operator can reclaim hours per week by using AI to produce first drafts they edit in minutes, instead of writing from scratch between jobs. – Anthony Oren, Nero Consulting

Streamline Grant And Certification Applications

Small businesses constantly leave free money on the table because grant and certification paperwork is too tedious. Now, you can easily build a simple, custom AI tool to act as your personal grant writer—automatically scanning for relevant grants, drafting heavy narratives and prepping certification paperwork in a fraction of the time. – Konstantin Klyagin, Redwerk

Create Content Faster

Even the smallest businesses can use free AI tools to create social media posts or answer customer emails. Just type in what you need, and the AI drafts good text in seconds. This saves hours of work each week and helps you reach more customers without hiring help. Start with easy tasks like product descriptions. You will see quick results and stay competitive with bigger companies. – Rohan Pinto, 1Kosmos BlockID

Strengthen SEO With AI Analysis

Run an SEO analysis with AI. Feed a tool like ChatGPT your website and a few keywords, then ask what you do well, where competitors beat you and what content you are missing. You might need to add more reviews or examples of your work or be present on more social networks. Just make sure to rerun it periodically, both to surface new ideas and to check whether your changes are actually moving the needle. – Luke Wallace, Bottle Rocket

Target A Specific Workflow Bottleneck

The best way to leverage AI is to target a bottleneck, not chase a trend. Identify where the team repeatedly loses time, introduce AI into that single workflow, and then measure whether it improves speed, quality or customer satisfaction. – Mahati Kumar, Meta Platforms Inc.

Use AI Research To Guide Decisions

One very lightweight, low-hanging-fruit use case that almost any small business can start with is research. AI can help with the research, analysis and modeling that supports decision-making; validate assumptions; assess risks; and even decide when it is time to pivot the direction of the business. – Yuri Gubin, DataArt

Streamline Email Management

Start with your inbox. AI tools like Copilot or ChatGPT can draft emails, summarize threads and prioritize follow-ups in minutes. You don’t need a tech team or a big budget to get real value. Even a solo operator or a five-person shop can reclaim hours every week just by letting AI handle the communication overhead. That’s time you can put back into running your business. Start small, stay consistent, and the ROI becomes obvious fast. – Steven Singer, Julius Silvert, Inc.

Activate Built-In AI Security Tools

Turn on the AI-powered security already built into tools you use: phishing and/or threat detection in email clients, data loss prevention to flag sensitive data leaving systems, and AI-driven endpoint protection on laptops and phones to catch malware behavior. These come off-the-shelf with the platforms most small businesses already pay for. Small businesses lack IT staff but face real threats; enabling dormant settings delivers enterprise-grade defense at zero extra cost. – Kumar Ritesh, CYFIRMA

Analyze Customer Conversations For Insights

One of the highest-impact uses of AI for a small business is analyzing customer conversations. By reviewing emails, reviews, sales calls and support tickets, AI can uncover recurring objections, buying triggers and common questions. Those insights can quickly strengthen website copy, ads and sales messaging, often delivering greater ROI than using AI simply to produce more content. – Harsh Jangid, Coozmoo Digital Solutions

Improve Inventory Decisions

One of the most practical ways small businesses can use AI is as a decision assistant, not just a content generator. For example, a local retailer can combine sales history, seasonal trends and inventory data to identify which products to reorder and which are tying up cash. That shifts AI from saving a few minutes of work to improving everyday business decisions that directly affect profitability. – Amirtha Saminathan, Lowe’s

Extend A One-Person Team’s Capacity

One-person businesses are now more common—for example, a local influencer expanding an e-commerce store or an independent consultant building a practice. AI allows one person to operate like a team, handling customer support, marketing, research and follow-ups while the owner focuses on the judgment, relationships and creativity that differentiate the business. The right question is no longer where to use AI, but how to use it effectively without outsourcing human judgment. – Tamanna Kottwani, Clutch

Spot Cash-Flow Problems Early

Even the smallest business can use AI to spot cash-flow problems early. It can review invoices, payment patterns, expenses and upcoming bills, then flag late-paying customers or unusual cost increases. This gives the owner time to act before a small financial issue becomes a serious business problem. – Sibasis Padhi, Walmart Inc.

Translate Customer Communications

An underused move is real-time translation, which allows even a tiny shop to serve customers in languages the owner doesn’t speak. That alone can open up access to local immigrant communities or tourists that a small business would otherwise lose to bigger competitors with multilingual staff. It costs nothing extra and grows the customer base instead of just saving time. – Hari Sonnenahalli, NTT Data Business Solutions

Negotiate Software Costs

Use AI to negotiate your software bill. Small businesses overpay for software as a service because vendors count on their not tracking renewal dates, seat usage or competitive pricing. Point AI at your invoices, contracts and usage data, and it will surface exactly where you’re overspending. The smallest teams often see the biggest percentage savings just by auditing their stacks. – Nidhi Jain, CloudEagle.ai
